Privacy notice

This notice says what we keep about you, why, where it is kept, who sees it, and what you can ask for.
Who is responsible for your data
The national Award office in your country runs the Award there and is responsible for your data. The Duke of Edinburgh’s International Award Foundation provides the Online Record Book to it.
How to reach us
Ask your Award Centre, or choose Ask for help when you are signed in. If your Award Centre cannot answer, your request goes to the national Award office.
What we keep
- Your name, date of birth and contact details.
- Your roles, your Award records and what you upload as evidence.
- What you agreed to, and when.
Why we keep it
- To run your Award: your account, your records and the checks on them.
- To keep young people safe, such as checks on the adults who work with them.
- To send you news about the Award, or to use your records in research. We do this only if you agree, and you can withdraw at any time.
Where it is kept
Your records are kept in data centres in your region, such as Europe or North America. The Foundation sees only counts in which nobody can be picked out.
Who sees it
Only the people who need it to run your Award: your Award Leader, your Award Centre, the national Award office, and an assessor for the activity they assess. Every change an admin makes is recorded.
How long
We keep it while your Award is in progress, and afterwards for as long as the national Award office’s rules require.
What you can ask for
You can ask to see what we keep, to correct it, to delete it or to stop a use of it. You can withdraw anything you agreed to at any time. Ask your Award Centre, or choose Ask for help.
If you are not happy
If you think we have not looked after your data well, you can complain to the data protection authority where you live.
